Working with Victoria Cortes has been one of the best investments our organization has ever made. From the very beginning, she has taken the time to understand our processes and create customized solutions that have completely transformed the way our foundation operates. Victoria has designed and implemented countless automations that have streamlined workflows across multiple departments within our organization. Personally, she has saved me several hours of work every single week through the automations she has created for my role. These include our Approved Training Facility Portal, Approved Athlete Portal, and Ambassador Portal, all of which have made our processes significantly more organized, efficient, and user-friendly for everyone involved. She has even made loom videos with clear instructions on how to use each portal. She has also created easy to understand organizational charts and workflow diagrams that have become invaluable tools for our team. We use these when presenting our foundation to prospective donors, explaining our processes to partners, and even when applying for grants. They have helped us communicate our mission and operations with clarity and professionalism. Victoria's knowledge, creativity, attention to detail, and genuine commitment to helping us succeed are second to none. She built solutions for us that make people's jobs easier and that allows us to focus more of our time and energy on the Veterans we serve. If I could give Julian D'Andre and Ryn Wade more than five stars, I absolutely would. Over the past several months, I've had the opportunity to work with them every single week as they helped my Creative Department transition from another project management platform over to Monday.com. Honestly, what I expected to be a daunting process turned into one of the best vendor experiences I've had because of these two. They didn't just build workflows and train us—they were there every step of the way. No matter how many questions I had (and trust me, there were plenty), they always took the time to explain things in a way that actually made sense. The biggest compliment I can give them is that I'm a Creative Director, not a Project Manager. This isn't my area of expertise. But somehow, they made something that felt overwhelming become easy to understand. They gave me the confidence to not only learn the platform, but to actually lead my team through implementing it. Work in Progress

Work in Progress! Liked: The team was great - both Julian and Ryn were very accessible, positive and willing to listen to all the customizable vision needs we had for our workspace. Disliked: Monday.com breaks. Its a little clunky from a Sales usage standpoint, but that is not on the team building it. This tool is meant for Project Management. And there were instances where we wanted the workflow to be super simple, clean, approachable and easy to manage from a Sales / Business Dev standpoint, but Monday.com is meant to manage the details of a project, not the surface level influx of Sales Leads. I am just worried the workflow will be more mundane and a burden to update versus a tool that 'works for me'. We also have to finalize many integrations yet (i.e. with Outlook, ChatGPT, etc). Hopefully that will be a future contract with your team. Thanks for all the weeks of work

Rebuilding and adding value to Monday.com

Workflow Magic helped our team rebuild and reorganize our Monday.com workspace. Working directly with Mete, we met weekly to review what needed to be fixed and improved to develop a more effective structure. He helped create an entirely new board that better connected our workflows and increased visibility across all our teams. Throughout the project, Mete was patient and adaptable as our requirements evolved. He helped us get more value from the platform and establish a structure that better supports our team's needs.

We introduced a complex system for workflow and Mete was able to address all the wants and needs we had. It went so well that we moved forward with other projects that seemed untenable until we saw how well Mete could translate our requests into action, with regular weekly meetings for updates and tweaks. A fantastic experience.

Small Organization - Complex Implementation - Amazing Outcome

We engaged Workflow Magic to implement Monday CRM to help us manage our Statewide Programs. We are a small organization, with complex integrated processes. We were previously managing everything on spreadsheets and Word documents. With over 100 community partners and 500 certified program facilitators, it was becoming unmanageable with our manual processes and tracking. Our goal was to create 360 degree visibility across all programs, automate activities, and reduce duplicate data entry. Workflow Magic helped us integrate all of our process flows - from incoming request forms for Funding Requests, Training and Certification (9 programs), Natural High Retreats, and Technical Assistance, and moving items to operational boards to manage all activities. We now have an Onboarding Board to handle onboarding new partners and partner agreements, Funding Board to handle all requests for funding service delivery in the community, and Agreements Board that collects key information and Builds a Service Agreement (PO) and sends out for electronic Signature and tracks all history of requests, training, and agreements through an Account View. Training Boards track requests from initial inquiry, receiving applications, through enrollment, to completion of certifications. Our Services Tracking Board takes all items on a Service Agreement and adds them to the Board for managing Site Visits, tracking pre/post surveys, and the status and timeline of all community partners and services being delivered. The Natural High Retreat Board serves as a project management tool to support the planning of retreats which includes 2-4 external entities to plan a retreat. It also tracks all agreements and budgets. We also have several Management and Program Dashboards that are tracking key metrics across our programs and budgets. There are hundreds of automations and workflows that eliminate a lot of the manual processes and communications. I wish we had done this 3 years ago, it would have saved us a lot of headache and time. Our implementation manager (Victoria) was a trooper and stayed in it the whole way - even when things were hard. The biggest challenge we faced was the gap between the sales cycle and starting implementation. The sales side underestimated the complexity of our requirements, even though we provided written documentation. We definitely had a "storming" phase at the beginning of the implementation process to get everyone on the same page. Victoria hung in there and we got to "norming" and then once we got to "performing" we were rocking and rolling. Workflow Magic definitely knows their stuff when it comes to Monday. However, as a Project Manager that has worked decades on technology projects, I expected a little more guidance on requirements gathering and process flows at the beginning, before jumping into implementation. We had asked Sales what we needed to provide to the Implementation Team and they said what we had was great, and the first steps of Implementation was to capture requirements. We had to slow the process down, and go back and document a lot more and in format that made since to the Implementation Team. Since we weren't experts on Monday's capabilities, it was challenging at the beginning to translate to Workflow Magic what we wanted it to do. Once we came up with a way to work with Victoria to capture our processes, data, workflows, relationships, etc. everything moved quickly. That is my only recommendation to Workflow Magic is to slow down and capture requirements up front and provide some tools or templates for the customer to capture information in a way that helps them configure the technology, especially on Complex integrations. Overall they were fantastic to work with and the final solution is Amazing!!! I would definitely recommend them. We have extended our agreement to continue to refine and add more value added functionality.

Exceptional Monday.com training!

In three sessions, the trainer (JDA) successfully and artfully guided our team through the basics of Monday.com as we requested. Moreover, JDA received our additional requests (i.e. Dashboard Development, integrations, automations, etc) and built those into the sessions! In each session, he demonstrated exceptional knowledge and application of Monday.com and its advanced attributes. He took time to answer questions, ensuring no learner was left behind.
